In this versatile role, you will provide high-level administrative and operational support to our General, Spine, and Trauma business units. You will be the backbone of the team, ensuring smooth daily operations, managing supplier relationships, and coordinating key events.

Main Responsibilities:

  • Purchase Oder Management (getting offers, managing suppliers, submitting Purchase Order, record Goods Receipt, payments, accruals)
  • Management of cabinets (supplier management, Purchase Orders, coordination with Sales Reps, creating/laminating labels for cabinets, delivery management to customers, sending transfer ownership confirmation to customers)
  • Ensuring proper quality processes (complaints management, Field Safety Notices/Field Safety Corrective Actions)
  • On- and Offboarding of employees
  • Employee badge managementOrganization of branded materials
  • Organization of DPS events and DPS Kick-off meeting
  • Organization of Spine customer events
  • Organization of Immersive Room events
  • Booking meeting rooms, organizing catering, organizing visitor badges, preparing meeting rooms
  • Reservation of restaurants for customer meetings in Switzerland and abroad during congresses (coordination with Amex)Supporting CapEx deals (offer management, coordination with business and Prague, PO submission, payments)
  • Supporting business with sterile conversion projectsOrganization of Christmas cards and team pictures
  • Continue supporting VOLT launch
  • Supporting business with sterile conversion projects
  • Interface to A3 (new roll-up, marketing projects, etc.)

Requirements

Who we are looking for:

  • Proven experience in marketing & sales, office management, commercial administration, or a similar business support role.
  • Strong organizational skills with the ability to prioritize tasks in a fast-paced environment.
  • Experience with ERP systems (e.g., SAP) for purchase order management is a plus.
  • Fluent in English and German (written and spoken).
  • Proactive mindset with a high level of reliability and attention to detail.
