Administrative Assistant (60-80%)

Reporting to the Head of Operations, you will provide effective support for the CEO office. We are looking for a well-rounded, inquisitive, and proactive self-starter, who takes responsibility for their tasks, is committed to achieving ambitious goals, and is open, flexible, and reliable. Your Challenges and Opportunity to Contribute
CEO Office
- Manage internal projects
- Prepare, review, and finalize quarterly board presentations
- Coordinate document preparation and deliverables
- Curate team meetings
- Manage the calendars for the CEO office
- Coordinate a range of Investment Committee processes and checks
Human Resources
- Assist in hiring processes by creating job descriptions, screening CVs, and scheduling interviews
- Coordinate employee onboarding
- Handle general employee administration (e.g. project allocation, holiday tracking)
AML/Compliance
- Provide quarterly overviews of the Investment Committee meetings cadence
- Ensure timely coordination of AML training for required employees
- Quarterly update of the AML monitoring tool automation list
Office Management
- Manage and improve office logistics to ensure smooth operations
- Oversee office supply management
About You:
- Higher education or equivalent qualification
- 1-3 years of experience as an assistant or in a support role within a dynamic environment
- Proficiency in English is required; Kledge of German is a plus
- You are accurate, efficient, independent, flexible, and reliable
- Excellent proficiency in in MS Office (Outlook, Word, Excel, PowerPoint, etc.).
- You are solution-oriented, committed, and possess strong communication skills
- You like to work independently, are team-oriented, and proactive
