About this role

For a Client in Canton Zug, we are currently in search of an Executive Assistant 80-100%
As a key member of the administrative team, you will act as a strategic partner to our leadership, ensuring operational excellence in a fast-paced, global environment.

Your Responsibilities:

Executive Support: Provide high-level administrative partnership, including proactive calendar management, meeting prioritization, and seamless coordination across multiple international time zones.

Travel & Expense Management: Orchestrate complex international travel itineraries and manage the full cycle of expense reporting and reconciliations in line with company policy.

Meeting & Event Coordination: Lead the organization of internal and external meetings?from agenda preparation and technical setup to capturing minutes and driving follow-up actions.

Digital Workplace Management: Maintain and optimize digital collaboration tools (e.g., SharePoint, departmental hubs), ensuring information is structured, secure, and easily accessible.

Onboarding & Integration: Facilitate the smooth integration of new team members by managing system access, tool training, and process walkthroughs.

Project & Operational Support: Coordinate cross-functional initiatives by tracking deliverables, managing document control/archiving, and supporting procurement activities (PO raising and vendor management).

Stakeholder Liaison: Serve as a professional first point of contact for global stakeholders, handling communications with high discretion and preparing executive-ready presentations and dashboards

Requirements

Experience: At least 5+ years of proven experience in executive support, business administration, or a similar role within an international corporate environment.

Technical Expertise: Advanced proficiency in Microsoft 365 (specifically Outlook, Teams, SharePoint, Excel, and PowerPoint) and a high level of comfort with modern digital collaboration tools.

Communication Skills: Fluency in English (written and verbal) is essential. Proficiency in additional European languages is considered a significant advantage in our multicultural environment.

Strategic Support: Demonstrated success in project coordination and stakeholder management, with the ability to navigate the needs of senior-level executives.

Organizational Excellence: Exceptional multitasking skills and the ability to manage competing priorities under pressure?always maintaining a high degree of accuracy and attention to detail.

Interpersonal & Cultural Savvy: A collaborative team player with strong interpersonal skills and the ability to work effectively across diverse cultures and functions.
