Actelion is a leader in the field of pulmonary arterial hypertension (PAH). The portfolio of PAH treatments covers the spectrum of disease, from WHO Functional Class (FC) II through to FC IV, with oral, inhaled and intravenous medications.
Main Responsibilities
- Manage calendars on an ad-hoc basis as requested; including 1:1 Manager/Staff meetings, Team meetings,
Goal setting and Performance Management meeting and interviews - Provide logistical support for departmental meetings, both large and small, on and off-site, in person, hybrid and virtual
Support local office logistics:
-coordinate site visits and check-in and escorting of guests
-coordinate office space
-order office supplies, etc. - Assist with interview scheduling and recruitment activities
- Support the onboarding and offboarding of employees for internal employees
- Interact with various levels of local teams on a day-to-day basis, handling confidential documents and materials
- Manage documents via paper files or technologies, including filing, formatting, printing and mailing
- Organize confidential files, manage relevant data, and maintain accurate records.

- Provide presentations/distribute communications, update email distribution lists; may include presenting relevant administrative information
- Manage SharePoint, document warehouses, and archiving technologies including document upload, development of sub-sites, provide links, general organization and structure
- Stays up to date on the developments within their own area of expertise and takes ownership of their own development and training plan

Requirements
Who we are looking for
- At least Bachelor's degree or equivalent through experience
- Knowledge of the processes, procedures and systems of the department and organization
- Accomplishing tasks with the necessary attention to detail and offering effective support within the agreed deadlines and according to agreed guidelines.
- Knowledge of the internal and external legislation and regulations
- Being able to develop a strong expertise in administrative systems, processes, and activities in order to be broadly deployable in the different administrative activities, domains and processes
- Being able to discreetly handle information, to correctly word written messages and to tactfully communicate with internal and external parties
- Acts autonomously when taking decisions on prioritizing their own tasks within general guidelines.
- Applies the company guidelines and the applicable procedures and/or regulations.
- Accuracy is required when processing and monitoring information.
- Fluently in English (oral and written)
This role based in Allschwil, Switzerland will initially be limited to one year with the option for an extension.
